Mountain View Medical Center, a family-owned primary care clinic serving rural Oregon for over 30 years, faced a critical challenge their existing electronic health record system was holding them back. As patient demand surged—especially during and after the COVID-19 pandemic—the clinic recognized the need for a technology partner that could help increase operational efficiency and maximize the time providers spent focused on patient care.

Tina Kelley, Director of Operations at Mountain View Medical Center, was involved in this transformation. Here’s how, from her perspective, Mountain View Medical Center executed on a deliberate, collaborative approach to their athenaOne implementation to lay the foundation for operational efficiency, growth, and both patient and provider satisfaction.

Onboarding with athenaOne: A deliberate, collaborative process

Mountain View Medical Center’s decision to transition to athenaOne was driven by the need for a cloud-based, scalable platform that could streamline workflows, reduce administrative burdens, and enhance patient care.

They took a thoughtful approach to their onboarding that brought everyone in their clinic along Then, regular calls with athenaOne’s implementation team ensured that customizable workflows, order sets, and encounter plans were fully configured well before they went live.

Kelley found athenaOne’s free, comprehensive, role-based training and coaching particularly integral to the process. Providers and staff received personalized support, including one-on-one sessions, empowering them to navigate the new system with confidence from day one. “The training that you can get within athenaOne and the provider one-on-one that you can have set up once a provider starts with you is super beneficial,” Kelley says.

This structured, holistic, and communicative onboarding minimized disruption across the clinic and positioned them to hit the ground running.

Seamless go-live: Enabling efficiency and focused care

After a smooth onboarding in November 2022, Mountain View Medical Centerquickly found that staff and providers’ had a lighter admin load, thanks to athenaOne

athenaOne's AI accelerators, for example, automate critical administrative tasks such as insurance card processing and clinical document management— which  also dramatically reduces the opportunity for manual errors. Now, front desk and clinical staff can focus more of their time on patient engagement rather than administrative guesswork and investigation.

Providers also benefit from clinical accelerators such as streamlined workflows and integrated order sets, which can significantly reduce documentation time. Billing staff experience more efficient claims processing, accelerated by the athenaOne rules engine, which leverages AI by encoding payer logic and implementing claim alarms to ensure timely follow-up on outstanding claims.

The impact was swift: Over the next year, Mountain View Medical Center expanded its provider team from 10 to 15 and added over 20 staff members, scaling capacity without compromising care quality1. Kelley says that the training and onboarding support they received continues to apply to new staff, as well: “athenahealth has helped us really streamline that process of onboarding new providers so that we can see more patients in our community and continue to live out our mission.”

Measurable outcomes: Growth fueled by thoughtful implementation

Mountain View Medical Center’s success and collaboration with athenahealth remains, long beyond implementation. The clinic maintains a close partnership with their Customer Success Manager for ongoing support, analysis, reporting, and problem-solving. This relationship helps Mountain View Medical Center keep a finger on the pulse of their organization’s performance and understand how athenaOne can continuously help them achieve goals and overcome challenges.

Their strategic onboarding and implementation of athenaOne have driven significant operational and financial improvements. Since going live, the clinic has experienced substantial growth in patient visits and provider capacity, alongside marked increases in collections and charges posted.

Operational efficiency has also improved dramatically, with key revenue cycle and clinical workflow metrics holding strong at industry-leading levels. These outcomes underscore how a carefully managed transition to athenaOne can empower an independent practice to scale effectively while continuing to deliver high-quality care.
